APS 5 level Program Support Officer

HOBAN Recruitment is recruiting for the role of APS 5 level Project Support Officer on behalf of our client, a respected Federal Government department located in Barton / Canberra ACT.
We are seeking a professional and proactive individual to support high-level meetings and projects within the Diplomatic Security Division.
About the Role:
As a key member of the division, you will provide high-quality project and secretariat support across a range of committee, board, and tender meetings. Your day-to-day will involve:
- Scheduling and coordinating high-level meetings
- Drafting clear and concise correspondence for executive review
- Collating and summarising meeting documentation and dashboards
- Taking accurate minutes with awareness of strategic priorities
- Maintaining both electronic and hardcopy records
- Monitoring project document status and proactively managing risks
- Liaising with stakeholders and directing queries appropriately
- Accessing, editing, and storing files in SharePoint using Microsoft Office tools

About You:
To be successful in this role, you will have:
- Demonstrated experience supporting committees and executive meetings
- Strong organisational skills with attention to detail
- Experience drafting formal documentation, minutes, and dashboards
- Proficiency with MS Office and SharePoint file management
- Ability to work autonomously and as part of a team
- Strong stakeholder engagement and communication skills
Desirable:
- Experience using TRIM (Content Manager)
- Confidence assessing project status and taking proactive actions
- Ability to tailor messages for diverse audiences
- Experience developing or updating policies, frameworks, or procurement documents
- Excellent prioritisation skills and flexibility to meet evolving demands

You must hold an Australian Government Negative Vetting Level 1 Security Clearance before commencement.
