About the Role:
Reporting to the Executive Director, the Executive Support Officer will provide comprehensive administrative support to ensure the effective management of the Executive Director's priorities. This role involves calendar management, meeting coordination, correspondence preparation, and supporting reporting and planning activities. The position requires a professional with strong attention to detail, advanced Microsoft Office skills, and the ability to operate effectively under pressure.
Key Responsibilities:
- Manage the day-to-day activities of the Executive Director, including calendar management, meeting coordination, and preparation of briefing materials
- Prepare agendas, take minutes, and draft correspondence on behalf of the Executive Director
- Coordinate and action requests from a shared mailbox
- Support the preparation and coordination of correspondence and enquiries, ensuring timely and high-quality responses
- Monitor and coordinate reporting, including briefing notes, business cases/submissions, business and strategic planning, and HR reporting
- Maintain accurate records and files, ensuring confidentiality and compliance with organisational policies
- Liaise with internal teams and stakeholders to resolve enquiries and support operational outcomes
- Other duties as required
Mandatory Requirements:
- Administration background with experience supporting senior executives preferred
- Intermediate to advanced skills in Microsoft Excel and Word
- Knowledge of SharePoint is favourable
- Strong organisational, time management, and communication skills
- Ability to work independently, manage competing priorities, and perform under pressure
