About the Role:
Reporting to the Small and Family Business Programs team, the Program Officer will provide support to Queensland's small business community through the administration of grant programs that enable growth, innovation, and resilience. The role involves processing grant applications, conducting assessments, managing variations and acquittals, liaising with applicants and recipients, and preparing reports and correspondence. The position may involve collaborating with internal and external stakeholders to maintain high standards of service delivery.
Key Responsibilities:
- Conduct grant administration and program activities, including application assessments, variations, acquittals, and audits, ensuring compliance with program guidelines, terms and conditions, and internal processes.
- Liaise with grant applicants and recipients to provide guidance, resolve queries, and support their understanding of grant processes and requirements.
- Maintain accurate records of grant processes and decisions using departmental systems, including SmartyGrants, CRM, and SAP.
- Prepare routine correspondence, reports, and briefing materials related to grant programs, ensuring accuracy and timeliness.
- Assist in monitoring grant program progress, collating data for reporting purposes, and contributing to the continuous improvement of grant administration processes.
- Provide administrative support for grant rounds, including coordinating timelines, reconciling monies, publishing grant information, and supporting application reviews
- Work collaboratively with internal and external stakeholders to support program outcomes and maintain high standards of service delivery.
- Undertake additional duties as directed within scope and capability.
- Other duties as required.
Mandatory Requirements:
- Significant experience in grants administration.
- Strong written and verbal communication skills.
- Proven ability to maintain accuracy in processing, record-keeping, governance, and compliance with guidelines and procedures.
- Analytical skills to identify and address issues within grants administration and provide practical solutions.
- Ability to manage multiple tasks, prioritise effectively, and meet deadlines in a high-volume work environment.
- Ability to work cooperatively with colleagues, contributing to a positive and productive team environment.
- Experience using grants management systems (e.g., SmartyGrants), CRM software, or similar platforms, and proficiency in Microsoft Office applications.
- Full Australian working rights.
Desirable Requirements:
- Experience preparing reports, briefings, and other documentation for senior stakeholders.
- Understanding of small and family business challenges and government grant programs.
- Commitment to delivering high-quality service to grant applicants and recipients.
