About the Role:
Reporting to an APS6 Planner Supervisor, the Participant Support Officer will provide administrative, clerical, and frontline support to clients and their families. This role will involve liaising with a range of internal and external stakeholders, managing enquiries and appointments, supporting operational tasks, and ensuring accurate data entry and recordkeeping in line with agency processes and legislative requirements.
Key Responsibilities:
- Manage and resolve client matters by actioning tasks in accordance with relevant legislation and agency guidelines
- Provide counter and reception support, including assistance with enquiries, self-help kiosks, and online services
- Respond to client and stakeholder enquiries, providing information or referrals to appropriate government or community services
- Manage team inboxes, appointments, and telephone enquiries in a timely and professional manner
- Coordinate appointments and ensure office facilities are accessible for clients
- Undertake research, investigations, and prepare reports and correspondence as required
- Complete a range of data entry tasks and follow up to ensure accuracy and timeliness
- Record complaints and feedback into agency systems and escalate as appropriate
- Contribute to a positive, client-focused culture aligned with agency values
- Other duties as directed
Mandatory Requirements:
- Previous experience in an administrative, customer service, or support role, ideally within government or community services
- Strong communication and stakeholder engagement skills, with the ability to build trust and rapport
- Proven ability to manage competing priorities and meet deadlines in a fast-paced environment
- Proficiency in Microsoft Office Suite and the ability to quickly learn agency systems and processes
- High level of accuracy and attention to detail in documentation, data entry, and recordkeeping
- Pre-engagement checks including a Working with Children Check and federal government security screening will apply
